Privacy Policy

Last updated: October 4, 2026

ClaimOtter is a documentation platform: it helps you organize your own property-insurance claim records and prepare your own complaint, in your own words. Doing that means you trust us with sensitive documents. This policy explains, in plain language, what we collect, where it lives, who processes it, and what your choices are. ClaimOtter is not a law firm and does not provide legal advice.

Information you give us

Account details. Your email address, a password (stored by our authentication provider, never by us in readable form), and a display name if you set one.

Claim information you enter. Details you type into the app — claim numbers, policy numbers, property addresses, dates, amounts, insurer and adjuster names, and the descriptions you write.

Documents you upload. Files you add to your document vault, such as policies, denial letters, estimates, photos, and correspondence.

Messages you send. Questions you type to Oli, the in-app assistant, and text you provide when preparing a response or complaint draft.

Payment details. Payments are handled by Stripe. We never see or store your full card number; we keep only the subscription status and billing references Stripe gives us.

Information collected automatically

Standard technical logs: IP address, browser type, pages requested, and timestamps. We use these to keep the service running, to apply rate limits that protect it from abuse, and to diagnose errors. We do not run third-party advertising trackers.

Product usage events. ClaimOtter records a short, fixed list of events itself: a click on the main sign-up button on the home page, creating an account, your first document upload, a free-plan account reaching the paid step for preparing a response, and a click showing interest in certified mail, which is not available yet. Each record holds the event name, the page it happened on (without anything after a “?” or “#” in the address), and the time. Events from a signed-in account also hold your account ID. The home-page button click instead holds a random identifier for that browser tab, kept in your browser’s session storage rather than a cookie and not linked to any account. We do not store your IP address, browser details, or cookies with these records, and we do not share them with advertisers or analytics companies. We use them only to see which parts of the product people reach and to count interest in features that are not available yet, so we can improve the product.

How we use your information

We use your information to:

  • provide the service — store your documents, track your claim file, and compute your File Completeness Score from the documents you attach;
  • prepare drafts for your review when you ask the app to help you assemble a response or complaint — you review, edit, and approve every draft before it is saved as yours;
  • process payments and manage your subscription;
  • respond when you contact us; and
  • keep the service secure.

We do not sell your personal information, and we do not use your documents to advertise to you.

AI processing — what actually happens

Some features use an AI model operated by Anthropic. When you use Oli or ask the app to help prepare a draft, the text you provide (and, for drafts, the claim details you entered) is sent to Anthropic's API to produce a response. Every draft is shown to you for review and approval before it becomes part of your file — there is no hidden AI behavior. Uploaded files stay in your document vault; they are not sent to the AI service unless a feature you invoke says so.

Where your data lives

Claim records are stored in a PostgreSQL database. Uploaded documents are stored in a private storage bucket — there are no public links. Downloads work through time-limited signed links generated per request, and every record and file is scoped to your account: the application checks ownership on every read and write.

Service providers

We share data only with the providers that run the service, and only what each one needs:

  • Supabase — authentication and document storage;
  • Anthropic — AI processing for the features described above;
  • Stripe — payment processing;
  • Zeabur — application and database hosting.

Beyond these providers, we disclose information only if you direct us to, or if we are required to by a valid law-enforcement or court demand.

Setup call requests

If you tick the box on your dashboard to request a setup call, we store the phone number you give us (if you choose phone), your best time to be reached, which way you asked us to contact you, and a record of your consent: the time you agreed and the version of the wording you agreed to. We use these details only to arrange and hold that call. Calls are not recorded. Any notes we take during a call are about how to improve the product, and we delete them once we have written up what we learned.

You can withdraw at any time by unchecking the box. When you withdraw we delete the phone number and best time, and we keep a record that you withdrew until your account is deleted, so that we do not contact you again.

Retention and deletion

Your records stay in your account as long as the account exists — a claim file is most useful when it is complete, so we do not auto-delete your documents. You can delete individual documents from your vault at any time; deleting a document removes the stored file. To delete your whole account and its data, contact us at the address below and we will process the request; some payment records must be retained for tax and accounting purposes.

Product usage events are deleted automatically once they are about 12 months old. When we process a request to delete your account, we also remove the link between these events and your account.

Your choices and rights

You can access and correct your claim information directly in the app, and you can request a copy or deletion of your data by email. Depending on where you live, applicable law may give you additional rights over your personal information; we honor requests as those laws require.

Age requirement

ClaimOtter is for policyholders managing their own insurance claims and is not directed to anyone under 18.

Changes to this policy

If we change this policy, we will update the date at the top of this page. For material changes we will also notify you in the app or by email before the change takes effect.
